The privacy policy
This policy is written for operators: owners, managers, and admins who need clarity. If something isn’t clear, we fix the policy — not your brain.
1. Overview
Ohio Made respects privacy and builds systems for real businesses. This policy explains what data we collect, how we use it, and what control you have.
2. What we collect
Depending on the modules you use (Identity, Payroll, ScanFlow, POS, Lottery, etc.), we may collect:
Account & Identity
Name, email, username, business profile details, login/session tokens, timestamps, and basic device/browser metadata used for security.
Operational data
Actions you take inside the system (audit logs), realm permissions, and system events such as access logs and error logs.
Customer content
Data you enter: employees, stores, invoices, transactions, documents, and operational records required to run the tools you enable.
3. Why we collect it (how we use it)
We use data to operate the platform and protect your business. Specifically:
Run the system
Provide features, connect modules, and keep the platform functioning reliably.
Secure access
Authenticate users, enforce realms, detect abuse, and prevent unauthorized access.
Support & improvement
Help you when requested and improve stability/performance based on real operational needs.
4. Hosted vs Private deployments
OhioMade can be delivered in different ways. This matters for privacy and responsibility.
Hosted (SaaS)
OhioMade operates the infrastructure and processes data to run the service, secure it, and provide support.
Private license
You control hosting, backups, admin access, and data storage. OhioMade does not access your data unless you explicitly authorize access for support.
Support access
If you ask for support, you may choose to provide logs, credentials, or temporary access. That access is only used to resolve the requested issue.
5. Sharing and disclosure
We do not sell your personal information. We may share data only in limited cases:
With your permission
You request support and authorize access.
Legal requirements
Required by applicable law, legal process, or enforceable governmental request.
Security protection
To protect customers, the platform, and the public from fraud or abuse.
6. Data retention
We retain data only as long as needed to provide system functionality, maintain audit/security logs, and comply with applicable legal obligations. Retention varies by module and customer configuration.

We use practical security controls appropriate to the system: access controls, authentication protections, session security, and audit logging.
8. Your choices
Depending on your role and configuration, you may be able to update account details, manage permissions, and export or delete certain data subject to business/audit requirements.
9. Children’s privacy
OhioMade is business software and is not designed for children under 13.
10. Changes to this policy
If we update this policy, we will update the effective date and publish the current version.
